Duration: 3-6 Months + (Possible Extension)
Pay Rate: $26 /hr on W2
Location: New York, NY or Mason, OH


Description:
We are seeking an experienced Project Coordinator to support project administration, planning, reporting, financial tracking, and day-to-day coordination activities. The ideal candidate will have strong organizational and analytical skills, hands-on experience with SAP and MS Excel, and the ability to manage multiple priorities in a fast-paced project environment.
This position will serve as a key point of contact for project-related administrative and procedural activities, ensuring project information, deliverables, metrics, financial records, and team communications remain accurate and up to date.

Key Responsibilities
  • Coordinate and maintain the project plan, collect updates from project teams, track task completion, and identify late or outstanding activities.
  • Prepare and consolidate project status reports, activity reports, deliverable scorecards, and upcoming-week activity reports.
  • Track and report project metrics, including metrics generated through SAP/SAP Solution Manager and other project systems.
  • Maintain project records, team lists, email distribution lists, shared-drive materials, and other administrative documentation.
  • Review project data and information for accuracy, investigate discrepancies, and coordinate resolution of issues with appropriate team members.
  • Prepare financial reconciliations by comparing project budgets against actual invoices, tracking expenses, and coordinating internal billing activities.
  • Support monthly accruals for expenses or services that have not yet been invoiced and ensure appropriate financial controls are maintained.
  • Coordinate billing-related activities, including direct billing for travel and other project-related expenses, and resolve discrepancies as needed.
  • Manage time-tracking activities, including reviewing and approving delegated time, monitoring delinquent submissions, and following up with project teams.
  • Coordinate requests related to telecommunications, network services, and other project support requirements.
  • Ensure required project materials, records, and deliverables are processed and distributed in a timely manner.
  • Support project closeout activities and ensure outstanding updates, changes, and documentation are completed.
  • Perform additional project coordination and administrative duties as requested by the Project Management Office (PMO).
Required Skills & Qualifications
  • 3+ years of project coordination or project management experience
  • Hands-on experience with SAP
  • Strong Microsoft Excel skills, including PivotTables
  • Strong data-entry and data-management skills
  • Financial understanding, including budget tracking, invoice reconciliation, and accruals
  • Knowledge of MS Project
  • Strong organizational and time-management skills
  • Excellent verbal, written, and interpersonal communication skills
  • Strong analytical and problem-solving abilities
  • Ability to manage shifting priorities and multiple deadlines
  • Strong attention to detail and accuracy
  • Fluent in English, both written and verbal
Preferred / Bonus Skills
  • Experience reading or interpreting construction plans
  • Experience with tendering and contract management
  • Experience supporting PMO functions
  • Experience working with project metrics, scorecards, and reporting systems
Education
  • Bachelor's degree in Accounting, Business Administration, Finance, or another business-related field preferred.
Work Arrangement
  • Hybrid – 3 days onsite
  • Candidates local to the designated work location are preferred and must be able to work onsite three days per week.
